Reconciling your three balances every day

A simple daily routine for comparing customer wallets, provider float and gateway settlements.

The three balances

Every VTU business has three balances that must agree. Customer wallets in Nova show what you owe your customers. Your provider float is what you can spend on airtime and bills. Your gateway balance is customer money waiting to settle to your bank.

A ten-minute daily routine

At the same time each day, export the Nova transaction report, then open your provider statement and your gateway dashboard. Compare the totals for completed purchases and confirmed top-ups.

Note any transaction that appears in one record but not another. Those are the ones to investigate before you refund anyone.

Watch pending transactions closely

A pending transaction has not finished. Check it with the provider before you reverse it. Refunding a pending purchase that later completes means you pay for the service twice.

Keep your float ahead of demand

If your provider float runs out, purchases fail even though customers have money in their wallets. Use your daily totals to judge how much float you need for a busy day, and top it up before you run low.
